Wye Valley Bells – Terms & Conditions

These Terms & Conditions form a legally binding agreement between you (“the Hirer”, “you” or “your”) and Wye Valley Bells, whose registered address is:

4 Cossack Court, Nailsworth, Gloucestershire

These Terms apply to the hire of our bell tents, equipment, accommodation and your use of our website.

By making a booking with Wye Valley Bells, whether in writing, electronically or in person, you confirm that you have read, understood and accepted these Terms & Conditions.

Any amendments to these Terms must be agreed in writing by Wye Valley Bells.

1. Bookings & Payments

Your booking is only confirmed once:

• Wye Valley Bells has confirmed your requested dates in writing;
• We have received your completed booking confirmation; and
• We have received the required non-refundable deposit.

Enquiries made via SMS, WhatsApp, Instagram, Facebook, X (formerly Twitter), telephone or other social media platforms do not constitute a confirmed booking until confirmed by email.

A minimum 50% non-refundable deposit is required within 7 days of the invoice date to secure your booking. Failure to make payment within this timeframe may result in your booking being released.

Bookings made less than four weeks before your arrival date must be paid in full at the time of booking, together with any required security deposit.

Cheques should be made payable to Wye Valley Bells.

2. Save Your Bells (Wedding & Group Bookings)

Our ‘Save Your Bells’ service allows wedding and event hosts to reserve accommodation for guests before individual bookings are made.

A fully refundable £200 Save Your Bells Deposit is required before we reserve your date and create your personalised guest booking page.

Guests booking through your personalised booking page must pay 50% deposit on booking and the full balance within 7 days of the due date to secure their bell tent.

3. Security Deposit

Wye Valley Bells reserves the right, at its sole discretion, to request a refundable security deposit of up to £1,500.

Where applicable, this deposit must be paid four weeks before your hire period.

The security deposit covers, but is not limited to:

• Damage to tents or equipment
• Missing items
• Excessive cleaning
• Breakages
• Loss caused during the hire period

Following inspection of the equipment, your security deposit will be returned within 14 working days, less any deductions. Any deductions will be fully itemised.

If the cost of repairs or replacement exceeds the value of the security deposit, you agree to reimburse Wye Valley Bells for the remaining balance.

4. Cancellations

If you need to cancel your booking, you must notify Wye Valley Bells in writing.

• Cancellations made more than four weeks before your arrival date will forfeit the non-refundable deposit only.
• Cancellations made within four weeks of your arrival date will forfeit all monies paid.

We strongly recommend that all guests obtain suitable travel insurance to protect against cancellation.

Should the remaining balance or any required security deposit not be paid by the agreed payment date, Wye Valley Bells reserves the right to cancel your booking without further notice. Any deposits or payments already received will be retained.

5. Use of Equipment & Bell Tents

During the hire period, you are responsible for all equipment supplied by Wye Valley Bells.

You agree to:

• Take reasonable care of all tents, furnishings and equipment.
• Report any damage immediately.
• Return all equipment in the condition it was supplied (allowing for reasonable wear and tear).

The following are strictly prohibited:

• Cooking inside any tent.
• Using gas appliances inside the tent.
• Using fire pits, BBQs or cooking stoves inside the tent.
• Smoking or vaping inside any tent.
• Candles, naked flames or any other ignition source inside the tent.
• Matches or lighters being used inside the tent.

Any evidence of smoking, naked flames or prohibited activities inside the tents may result in charges appropriate to the conditions.

Dogs are not permitted inside our bell tents, without prior permission.

6. Damage & Liability

You are responsible for any loss, damage or breakages occurring during your hire period, regardless of who caused them.

Wye Valley Bells accepts no responsibility for:

• Personal injury
• Loss or damage to personal belongings
• Vehicles
• Accidents occurring during your stay

except where liability cannot legally be excluded under the laws of England and Wales.

7. Weather Policy

Bell tents are designed for outdoor use but are subject to weather conditions. Wye Valley Bells reserves the right to postpone, relocate or cancel a booking where extreme weather makes installation unsafe. We will always work with you to find the best possible solution.

8. Access to the Site

The Hirer is responsible for ensuring suitable access to the site, including obtaining any permissions required from the landowner or venue. Any additional costs incurred due to restricted access or inaccurate site information may be charged to the Hirer.

9. Force Majeure

Wye Valley Bells shall not be liable for any delay, cancellation or failure to perform its obligations where such failure results from circumstances beyond our reasonable control, including but not limited to:

• Severe weather
• Flooding
• Fire
• Storms
• Acts of God
• War or civil unrest
• Terrorism
• Government restrictions
• Pandemic or epidemic
• Industrial disputes
• Failure of utilities
• Transport disruption
• Equipment failure beyond our reasonable control

In these circumstances, Wye Valley Bells shall not be liable for any consequential loss or expense incurred by the Hirer.

10. Website & Third-Party Content

Our website may contain links to third-party websites for your convenience.

Wye Valley Bells accepts no responsibility for the content, accuracy or availability of third-party websites and does not endorse any views or opinions expressed on them.

11. Copyright & Intellectual Property

All content on the Wye Valley Bells website, including photographs, logos, text, branding, graphics and designs, remains the intellectual property of Wye Valley Bells unless otherwise stated.

No content may be copied, reproduced or used without our prior written permission.

You may link to our website provided that:

• the website is not misrepresented;
• our content is not altered or framed;
• the link does not imply endorsement; and
• you remove the link if requested by Wye Valley Bells.

12. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
